Keys for Working with PivotTables and PivotCharts

All shortcut keys are based on the U.S. keyboard layout. Keys on other layouts may not correspond exactly to the keys on a U.S. keyboard.

For keyboard shortcuts in which you press two or more keys together, the keys to press are separated by a plus sign, like this: SHIFT+F10.
For shortcuts in which you press keys one after the other, the keys to press are separated by a comma, like this: ALT, F, X.

Working with the Layout Dialog Box in the PivotTable and PivotChart Wizard

To display this dialog box, select Layout... in Step 3 of the PivotTable and PivotChart Wizard.

To perform this action...

Press...

To select the previous or next field button in the list on the right

UP ARROW or DOWN ARROW

With two or more columns of field buttons, to select the button to the left or right

LEFT ARROW or RIGHT ARROW

To move the selected field into the Row area

ALT+R

To move the selected field into the Column area

ALT+C

To move the selected field into the Data area

ALT+D

To move the selected field into the Page area

ALT+P

To display the PivotTable Field dialog box for the selected field

ALT+L

Displaying and Hiding Items in a Field

To perform this action...

Press...

To display the drop-down list for a field in a PivotTable or PivotChart report. Use the arrow keys to select the field.

ALT+DOWN ARROW

To select the previous item in the range

UP ARROW

To select the next item in the range

DOWN ARROW

To display the lower-level items for an item that has lower-level items available

RIGHT ARROW

To hide the lower-level items For an item that has lower-level items displayed

LEFT ARROW

To select the first visible item in the list

HOME

To select the last visible item in the list

END

To close the list and displays the selected items

ENTER

To check, double-check, or clear a check box in the list. Double-check selects both an item and all of its lower-level items.

SPACEBAR

To switch between the list, the OK button, and the Cancel button

TAB

Changing the Layout of a Report

To perform this action...

Press...

To select an entire PivotTable report

CTRL+SHIFT+* (asterisk)

To group the selected items in a PivotTable field

ALT+SHIFT+RIGHT ARROW

To ungroup grouped items in a PivotTable field

ALT+SHIFT+LEFT ARROW
